Refund Policy

This Refund Policy applies to all registration fees, camera-ready processing fees, and membership fees paid to Xilvora Ink Education and Research Foundation (XIERF) through xierf.org. Please read this policy carefully before making any payment.
1. Conference Registration Fees

| 7 to 14 days before the conference date | 25% refund |
| Less than 7 days before the conference date | No refund |
Registration fees are non-transferable to another conference or event.
2. Camera-Ready Processing Fees
Camera-ready processing fees cover publication, DOI assignment, indexing, and proceedings production. These fees are generally non-refundable once the camera-ready submission has been processed.
- Before submission processing begins — Full refund if the request is received before our team begins processing the camera-ready documents.
- After processing begins — No refund once camera-ready documents have been reviewed and accepted by the editorial team.
- Paper rejection after payment — If a paper is rejected at the camera-ready stage due to quality issues, a 50% refund will be issued.
3. Membership Fees
Membership fees are non-refundable once processed, as membership benefits are made available immediately upon approval. In the event of non-approval of a membership application, the full fee paid will be refunded.
4. Conference Cancellation by XIERF
In the event that XIERF cancels a conference due to unforeseen circumstances, all registered participants will receive a full refund of the registration fee. XIERF shall not be liable for any additional costs such as travel, accommodation, or visa fees incurred by participants.
5. How to Request a Refund
To request a refund, send an email to publication.xilvoraink@gmail.com with the following information:
- Full name and email address used for registration
- Paper submission ID or registration reference
- Transaction ID and payment date
- Reason for refund request
Refund requests will be reviewed within 5 working days. Approved refunds will be processed to the original payment method within 7–10 working days.
6. Non-Refundable Items
The following are non-refundable under any circumstances:
- Convenience or transaction fees charged by payment gateways
- Certificate issuance fees once the certificate has been generated
- Fees for papers withdrawn by authors after the camera-ready deadline
